How can you use AI responsibly in everyday office work?
A practical approach to AI-assisted drafting, summaries, spreadsheet help and creative ideas, with privacy and verification built into the workflow.
Use AI for a clearly defined task, provide safe context and specify the output you need. Check facts, calculations and tone before using the result. Keep confidential information out of unapproved tools and make human judgement part of the workflow.
Choose a task you can evaluate
Start with a draft email, a presentation outline or an explanation of a formula. Choose something where you understand the desired result well enough to check it. Avoid accepting an answer just because it sounds confident or looks professionally formatted.
Give a useful brief
Describe the task, the intended audience, the relevant context and the required format. Add constraints such as length or tone. Use fictional or anonymised examples when practising. Ask for a revision when the answer misses the brief rather than copying it directly into your work.
- Task: explain a monthly report to a non-technical colleague.
- Context: provide a small fictional table with clear headings.
- Output: request three observations and questions to investigate.
- Check: compare every observation with the original numbers.
Verify the parts that matter
Test suggested spreadsheet formulas on simple cases with known answers. Compare summaries with the source document. Check names, dates, quotations and any claimed source. If a response makes an assumption, decide whether that assumption is justified before using the output.
Keep responsibility with the person doing the work
Follow your organisation’s policies for tools and data. Review the tone of client communications and remove unsuitable or misleading statements. In creative tasks, check asset permissions and whether generated visuals represent the intended subject accurately.
Build a repeatable practice exercise
Create a fictional meeting note, ask for an action list and compare the output with the source. Mark missing owners, incorrect deadlines and invented details. Rewrite the brief and repeat. Keep a note of the checks that caught errors so you can use them again.
Common questions
Can AI help me learn an Excel formula?
It can suggest an explanation or example, but you should test the formula with known inputs and understand its assumptions. Your spreadsheet result remains your responsibility.
