What should you learn in Excel and Microsoft Office first?
A practical learning order for Excel, Word, PowerPoint, reporting and responsible AI, with a sample project for students and working professionals.
Start with files and clean data, then learn formulas, tables and charts. Move to lookups, PivotTables and Power Query once you can check a basic spreadsheet. Learn Word and PowerPoint alongside Excel so you can turn analysis into a useful report and presentation.
1. Build a reliable foundation
Begin with organising files, naming versions and understanding where your work is saved. In Excel, distinguish text, dates and numbers, use clear column headings and keep one record per row. Learn relative and absolute references before copying formulas. A well-organised worksheet makes later analysis much easier to check.
- Enter and format a small, consistent dataset.
- Use SUM, AVERAGE and simple IF formulas, then check a few results manually.
- Sort and filter a table without separating related rows.
2. Answer useful business questions
Move to lookup functions when you need to bring related information together. Understand exact matches, missing values and duplicate keys rather than memorising a formula alone. Practise VLOOKUP, HLOOKUP, XLOOKUP and INDEX/MATCH as covered in your syllabus, then use PivotTables and charts to explain a pattern.
3. Make repeated reporting easier
Power Query is useful when you repeatedly clean or combine similarly structured files. Start with data types, trimming text and removing errors before combining sources. Refresh with a new sample file and compare totals to your source. Document assumptions so someone else can understand the report.
4. Turn analysis into communication
Use Word styles and headings to organise a report. In PowerPoint, choose one main message for each slide and make charts readable. Practise sharing the correct version with appropriate permissions. AI can help draft explanations or suggest formulas, but verify every result and avoid putting confidential information into unapproved tools.
A practical project to bring it together
Create a monthly sales report using fictional transactions. Clean the data, calculate totals, compare categories and prepare a short presentation. Explain what you checked, what the figures show and what they cannot tell you. Keep the spreadsheet, report and slides as an example of your workflow.
Common questions
Do I need advanced Excel before learning Power Query?
You should be comfortable with tables, data types and basic formulas. Start with simple cleaning tasks, then progress to combining files and repeatable reporting.
